Minutes of Board of Directors Meeting

Bill Carlton was absent from the meeting.
Doug Burdett called the meeting to order at
approximately 7:07 PM.
The Board Meeting was held at the law
offices of Daughtry and Scott, located at 17044 El Camino Real.
The agenda was approved.
The minutes of the April Board meeting were
reviewed and approved as revised.
Management Report:
The Financials were
reviewed and discussed. The Board would like more clarification of the
interest income of $1,618.02.
The Action Items were reviewed and
discussed. The Board would like two additional bids on the fence
repair/replacement.
The Correspondence Log was reviewed and
discussed.
The Inspection Report was reviewed and
discussed. The Board would like to get a price of floor matting to be put
down in between the restrooms, by the water fountain.
Committee Reports:
Architectural Control:
There was not a representative at the meeting to give a report. Several HIA
forms were reviewed and approved. One application for an awning off the
back of the home was denied.
Crimewatch:
There was not a representative at the meeting to give a report.
Recreation:
Jim Rosinke explained that one lifeguard on the stand can guard up to 50
people with one guard in the pool area. The Board would like to know if at
least one of the guards at the pool is a senior guard. Jim will email the
Board the damages done to the pool done during a pool party. It was
mentioned that pool registration forms could be enclosed with the statements
at the end of the year. Whitewater Pools has requested that Brittany Lakes
children participate in the Brittany Bay swim team. A motion was made
combine the two neighborhoods to make one team that would not exceed 50
children. Brittany Bay homeowners would have first option to participate
and no Brittany Bay children would be turned down. The first year of the
combined team would be a trial period and the Board would like a survey and
input from the parents with regards to the combined team. The motion passed
unanimously.
Playground:
No report was given.
Landscape:
There was not a representative at the meeting to give a report.
Welcome:
Gina Sherman presented a sample Welcome Basket and asked the Board how far
they would like to go back with the new homeowners. The Board agreed to
start the welcome baskets with February 28 to date and include a card
welcoming the homeowner to the neighborhood. Karen will forward the new
homeowner information to Gina.
Newsletter:
HCMS to contact a newspaper about getting permission to use their articles
if the paper’s name is given. The newsletters will be printed on white
double-sided paper and stapled. The newsletters will be dropped off at
Jim’s home for delivery.
Old Business:
Leak Detection – The leak detection findings
were tabled until after the pool season.
New Fence Maintenance Easements – HCMS will
try to contact the homeowners by telephone for signatures on the easements.
The easements can be mailed or delivered to their home, which ever the
homeowner would like. Karen can notorize their signatures. A $1 check can
also be granted to these homeowners if it is required, since it is in the
easement. Check can always be voided if not used.
Bank Signature Cards - The Board agreed to
sign the new signature card for Southern National Bank.
New Business:
Landscape – It was mentioned that the dirt
mounds and rut are still along the Brittany Bay Blvd. fence. The Board
would like to have Brittany Lakes’ landscapers bid the contract for Brittany
Bay.
Pool – The Board would like Whitewater Pools
to install a combo lock on the gate to the pump room. HCMS to find out if
the Association has a key to the timer on the lights box.
There being no further business to discuss,
a motion was made to adjourn to Executive Session at approximately 9:32 PM.
Motion passes unanimously.
